The Timekeeping Clerk collects reviews and cleans up all union time keeping records in the data capture system. Once errors, discrepancies and queries related to all payroll codes have been resolved, information is updated into the formal accounting system. To meet operational requirements, overtime and weekend work will be required at various times throughout the year. As a function of the workload, this is one of two identical job descriptions. It will require that the two incumbent co-ordinate the daily duties of the job and provide necessary coverage for short term absences. This position also provides accounting and reception services.
Note: This position qualifies for an optional hybrid work schedule after 90 days of onsite work and onboarding. Employee will be subject to the terms of the Flexible Work Policy Agreement.
What you'll do
Reviews and amends timekeeping entries by Chargehands; cleans up and approves timekeeping and pay rate records and uploads into payroll program.
Ensures the company has complete and accurate daily time keeping records for all unionized employees.
Discusses with Chargehands and clarify any/all questionable data input.
Provides Replicon time entry training to users (Chargehands) so they understand their roles and responsibilities in the time entry system and can accurately and efficiently enter time records for their subordinates.
Gathers, verifies and submits daily reports to Seaspan corporate payroll for further processing.
Determines and enters required payroll adjustments.
Provides the liaison and necessary information with employees, their Chargehands and corporate payroll to explain pay advice and related changes.
Runs various E1 and BI reports that detail and/or summarizes payroll transactions.
Understands various aspects of the Collective Agreement and maintain consistent application of interpretations provided by Labour Relations and to exercise prudent judgment in knowing when to seek advice.
Maintains up to date knowledge of current Collective Agreement as it relates to payroll. Determines when to liaise with Labour Relations to ensure consistent application and interpretations across trade groups.
Greeting visitors and directing them to appropriate departments, answers routine inquiries and incoming calls.
Performs general clerical functions including but not limited to receiving, sorting, forwarding incoming and outgoing mail and fax transmissions, preparing weekly courier to Seaspan Corporate offices; maintains and updates internal telephone extension list.
Other duties as the need arises.
What you'll bring
Grade 12.
1-2 years office experience.
Basic knowledge of MS Office.
Experience inputting data into systems.
Courses relative to the Canadian Payroll Association would be an asset.
JD Edwards E1 experience would be an asset.
