The Executive Assistant is responsible for assisting the Lead Executive Assistant, in the execution of his/her duties and for providing administrative support to C Suite executives located in the North Vancouver office. The Executive Assistant handles a wide range of administrative and executive support tasks that involve effective communication and interactions with Seaspan executives and all staff.
Note: Due to business needs, this position is required to be fully on-site based at2 Pemberton Avenue, North Vancouver.
What you'll do
Support a broad variety of administrative tasks for the CEO and an assigned team of Seaspan executives, including managing active calendars of appointments, compiling expense reports, coordinating detailed travel plans, itineraries, and agendas.
Support clear communication between the CEO's office and internal departments and demonstrate professionalism to maintain credibility, trust and support with Seaspan executives.
Assist with the preparation, formatting and distribution of agenda and associated materials for Senior Leadership Team meetings and various other meetings.
Coordinate catering services for meetings involving CEO and/or Seaspan executives.
Administer and update StaffMap for 2 Pemberton (Level 4) for the following departments: Executive team, Legal, Business Development, Communications, Quality and Finance. Oversee internal team/group moves, ensuring accurate, timely changes and managing space for onboarding new employees
Oversee and coordinate all aspects of onsite and offsite events for CEO's office, including logistics, vendor management, scheduling and execution.
Other duties as assigned.
What you'll bring
Completion of Grade 12 education, plus post secondary courses relevant to executive administration or equivalent.
A minimum of 3 years of experience supporting senior executives in an office environment.
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including peers, staff, board members, and external partners.
Exceptional written and verbal communication skills.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Balance many competing demands and the ability to prioritize accordingly.
High level of emotional maturity.

The estimated salary for this position is $72,700 - $87,200. In determining final salary, Seaspan considers many factors including the successful Candidate's skillset and experience as well as position location and internal equity. The final base salary offer will be at the Company's sole discretion and presented as part of a competitive total compensation package.
